Positions

  • The Strathmore and District Agricultural Society is seeking an energetic, highly organized, and professional individual to join our team as an Executive & Events Assistant. This exciting role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and is passionate about supporting community events, organizational operations, and executive leadership.

    The Executive & Events Assistant will play an important role in helping coordinate day-to-day administrative functions, event logistics, sponsorship initiatives, and organizational communications while supporting the CEO and leadership team.

    Position Overview

    The Executive & Events Assistant will provide administrative and operational support to the CEO and management team while assisting in the planning and execution of events, facility rentals, sponsorship initiatives, and community programming throughout the year.

    This position requires a highly organized and adaptable individual who can manage multiple priorities, communicate professionally with stakeholders, and contribute to the successful delivery of events and organizational operations.

    Key Responsibilities

    Executive & Administrative Support

    · Provide administrative support to the CEO and leadership team

    · Assist with scheduling meetings, preparing agendas, taking meeting minutes, and managing calendars

    · Support internal communications, reports, contracts, and organizational documentation

    · Assist with budgeting, invoicing, reporting, and general office administration

    · Coordinate correspondence with sponsors, vendors, partners and community stakeholders

    Event & Operations Support

    · Assist with the planning, coordination, and execution of community events, programming, and facility rentals

    · Support event logistics including scheduling, vendor coordination, staffing support, setup, and event readiness

    · Help coordinate operational planning for grounds, facilities, and event preparation

    · Assist with volunteer coordination and event-day administration

    · Support sponsorship fulfillment, activations, and partner communications

    · Assist with grant research, grant writing, and funding applications to support organizational projects, events, and facility improvements

    · Collaborate with marketing and promotional efforts for events and organizational initiatives

    Community & Relationship Development

    · Build and maintain positive relationships with sponsors, community partners and vendors

    · Assist with sponsorship outreach and community engagement initiatives

    · Represent the organization professionally during meetings, events, and community activities

    · Contribute to creating a positive experience for guests, partners, volunteers, and attendees

    Qualifications

    · Strong organizational, administrative, and time management skills

    · Excellent verbal and written communication abilities

    · Experience in executive assistance, administration, event coordination, hospitality, recreation, or community organizations considered an asset

    · Ability to manage multiple projects and deadlines in a dynamic environment

    · Strong attention to detail and problem-solving abilities

    · Self-motivated with the ability to work independently and collaboratively

    · Proficiency with Microsoft Office and general administrative systems

    · Comfortable working evenings and weekends during events and peak seasons

    · Valid driver’s license
